Purchasing Administrator

Xcel Mechanical Systems is seeking an entry-level Office Administrator who in addition to executing general administrative responsibilities with a high-level of professionalism and efficiency, also provides increasingly progressive support to our Purchasing team.

The ideal candidate has a minimum of a bachelor’s degree in any discipline; demonstrated interest in learning more about the construction industry; is a versatile team player; and possesses excellent verbal and written communication skills. Xcel Mechanical Systems is located in Gardena, CA – about 10 miles from the beach, from LAX, and from Downtown Los Angeles. You will join Xcel Mechanical as it enters its 21st-year in business; a time in which our company is being recognized as one of the largest mechanical and plumbing contractors in California and one of the safest in the United States.

Administrative Responsibilities

  • Help maintain the front office
  • Schedule meetings and presentations
  • Become familiar with construction-related, project management software platforms
  • Become familiar with internal accounting software and processes
  • Develop command of vendor network of manufacturers, distributors and subcontractors
  • Become a trusted and reliable point-of-contact for our Project Managers, Project Superintendents and Field Foreman on matters related to procurement of needed material, parts and services
  • Responsible for Rental Equipment tracking and invoicing
  • Track Backorders
  • Order jobsite and office storage units as needed
  • Send out RFQs to Supply houses
  • Issue Purchase Orders and Subcontracts
  • Rectify any invoicing and Purchase Order discrepancies in a timely manner
  • Coordinate Returns
  • Provide related and ongoing support to the company’s Purchasing Manager


• Entry-level, recent college grads will be considered
• Proficient with Microsoft Office tools (Outlook, Word, Excel, PowerPoint)
• Experience working in the contracting industry a plus
• Previous administrative experience a plus
